Who we are (data controller)

1. Data we collect

  • Account data: email address and account profile details you provide.
  • Usage data: feature activity, workflow events, and service interaction logs.
  • Device and connection data: device/browser information and IP-based security logs.
  • Billing metadata from Stripe: subscription status, transaction references, and plan history.
  • Support communications: emails and support details shared with our team.
  • Marketing preference data: whether you have subscribed, requested access, joined a list, or opted out.
  • WhatsApp and social messages: information you send when contacting us through those channels.
  • AI-assisted feature data: prompts, deal data, page context, and user-provided information where relevant.

2. Lawful bases (UK GDPR)

  • Contract: to provide your account, subscription, and core features.
  • Legitimate interests: service security, abuse prevention, reliability, and product improvement.
  • Consent: non-essential cookies, advertising technologies, and optional marketing/partner attribution settings.
  • Legal obligation: tax, accounting, and legal compliance.

3. Marketing communications

Where you subscribe, request access, download a resource, join a waitlist, register interest, or otherwise give permission, we may send product updates, onboarding messages, launch emails, and relevant PropertyScout marketing. You can unsubscribe at any time.

4. WhatsApp and social messages

If you contact us through WhatsApp or social media, we process the information you send so we can respond, route your enquiry, provide support, and manage commercial conversations.

5. Advertising and analytics

Where consent is required, analytics and advertising technologies are used only after consent. These may help us measure campaign performance, understand site usage, and show relevant ads.

6. AI-assisted features

Some Scout or analysis features may use AI systems to process prompts, deal data, page context, and user-provided information. Do not submit highly sensitive personal data unless the app specifically asks for it. AI outputs may be incomplete or incorrect and should be verified.

7. Processors and sub-processors

We use service providers to operate the platform. Typical providers include:

  • Stripe (payments and subscription processing)
  • Vercel and Vultr (application hosting and infrastructure)
  • Neon Postgres (managed database infrastructure)
  • Email delivery providers (for transactional/support communications)
  • Analytics tooling, where enabled by consent
  • Advertising platforms, where enabled by consent
  • AI providers where relevant product features require model processing

8. International transfers

Some providers may process data outside the UK. Where international transfers occur, we rely on appropriate safeguards, such as contractual protections and provider commitments that align with UK GDPR requirements.

9. Retention

  • Account records: while your account is active, and for a limited period after closure.
  • Billing and transaction records: retained for tax/accounting obligations (typically up to 6 years).
  • Support records: retained as needed to resolve issues and maintain service quality.
  • Cookie consent settings: retained to respect your preferences.

10. Your rights and account deletion

Subject to UK GDPR, you may have rights to request access, correction, deletion, portability, and objection.

To make a request, contact info-contact@propertyscout-ai.com. If you are based in the UK, you can also raise a concern with the ICO.

You can request account closure or deletion by contacting info-contact@propertyscout-ai.com. Some billing, tax, fraud-prevention, dispute, and legal records may be retained where required or justified.

11. Security

We apply practical security controls including restricted access, transport encryption, and monitoring. No online system is free from all risk, but we design and operate with security as an ongoing priority.

12. Cookies and consent

Cookie and local storage usage is explained in our Cookie Policy. Essential cookies are always on for security/login. Optional categories require consent.

13. Updates to this policy

We may update this policy as PropertyScout evolves. Any material update will be reflected by revising the Last updated date and, where practical, by email or in-app notice.

14. Governing framework

This policy is interpreted in the context of applicable data protection law in England & Wales.
